ST. MARTIN’S EPISCOPAL CHURCH
VESTRY MEETING
May 26, 2009
PRESENT: The Rev. Susan Crawford, Bob Buehler, Jack Hauser, Jeanne King, Rich Luebcke, Mary Drastal, Sherrie Algren, Carrie Morrison, Debbie Marx, Bob Elsperman
ABSENT: John Lange
Opening Prayer: The Vestry Meeting began with an opening prayer led by Rev. Susan Crawford
Bible Study: The Vestry Bible study was done in small groups.
Approval of December 2008 and March 2009 Vestry Meeting Minutes
Jack H. moved that the meeting minutes for December 2008 be approved. Jeanne K. seconded the motion. Motion passes
Jack H. moved that the meeting minutes for March 2009 be approved. Bob B. seconded the motion. Motion passed
Treasurer’s Report: Rich Luebcke presented the Treasurer’s Report with explanation for the staff salary line differences YTD actual costs are +$6483 for 2008-2009.
Rich to research the Special Funds/Designated Funds line items in the budget. Is the cash actually there, or are they offsetting the budget deficit?
Bob B. motioned to approve the March & April 2009 monthly reports. Bob E. seconded the motion. Motion passed.
Old Business
Search Committee Report: A written report was submitted by Jeanne K. from the committee’s meeting 5/20/09.
A written format of the verbally communicated message given to the parishioners at the 5/24/09 Sunday Service was distributed.
Bob B. will draft and send a letter by mail to all parishioners.
Jack Hanley is the new Co-Chair with Erv Heyde. Susan Gillies & Sean Parker have accepted their call to serve on the reinstated search committee.
The search committee is scheduled to meet on 5/27 to discuss sub-committees, and make a decision on advertisement for candidates.
Bob B. thanked both Jeanne K. and John L. for their time and service to both the search committee and the vestry.
New Business:
Election of 2 new vestry members to fill the recently vacated positions. Discussions on how to nominate and the voting procedure. Several suggestions were made. It was decided to send all candidates for nomination to Rev. Susan C. first. She will check on their status with the parish and Episcopal Church prior to actually recruiting the individual.
Election of Junior Warden: Due to the resignation of Emily Ware for health reasons, Bob. B nominated Sherrie Algren to serve as Junior Warden for the remainder of the calendar year. Carrie M. seconded the motion. Bob E. moved nominations are closed. Rick L. seconded the motion. Bob E. moved by acclimation and Sherrie A. was elected unanimously.
July Vestry Meeting: It was decided to eliminate the July vestry meeting; we will meet again on June 22, 2009. Next Executive Committee meeting will be June 16, 2009.
Standing Committees:
Stewardship: We postponed this report due to John L. absence
Facilities: Jack H. reported he has submitted grants to the Diocese for windows and space heaters. We are able to get up to $7500 in rewards every 2 out of 4 years.
Jack H. is looking into upgrading our handicap accessibility as it relates to our facility being used as a Federal & Local Govt. polling location. It is possible to apply for federal monies.
Jack H. reported on the roof leak at the rear of the church entrance & kitchen and stairwell. An insurance claim has been filed. Major clean-up and restoration work is being performed by Woodard. It was suggested we set up a regular roof maintenance program to insure we don’t have another major roof leak due to a clogged drain on the roof.
Evangelism: Sherrie A. reported that the committee is working on “social networking” as it pertains to technology. Does St. Martin want to get involved in Facebook? How is it monitored? Rev. Susan C. advised if there is a Facebook page, it needs to contain a disclaimer that it is not the official website or Facebook page for St. Martin’s Episcopal Church.
The committee is also looking for an inexpensive item to hand to visitors on Sunday. She passed around a bookmark with St. Martin’s parish info as well as info on St. Martin
Ruby Downs is now the new Evangelism Committee Chair
Worship: Rev. Susan C. reported that the choir is working on a proposal to create a choir room in the lower level. They need space to store their robes, music, instrument, etc. They would like to be able to practice before service in their choir room instead of church. This allows the church to be available for parishioners to use prior to service for private prayer or reflection.
